What are the different ways to raise a Credit Note?
There are 2 ways to raise credit notes on CCH:
1. Partial Credit Notes - The ability to raise an 'On Account' credit note for any amount which will simply
reduce the debtor balance and not effect any underlying WIP.
2. Full Credit Notes - The ability to 'Reverse' the gross amount of a posted invoice which will also reinstate
any WIP used in the original fee.
1. Partial Credit Notes
To raise a partial credit note, you must first go to the 'Bills' tab of the client in question and click on the 'Billing Wizard' icon which can be found in the taskbar at the top of CCH.
When you get to Stage 2 of the billing wizard, you will then need to click on the green cross which can be found in the top left hand corner of that screen.
You will then be presented with the 'Select Client Assignment/Job' window for which you need to select the assignment for where you want the credit to be posted to and then click 'Add'. (Please note that only 'Open/Active' assignments will appear in this window)
A further window will then appear called 'Create New Billing Charge'. You will need to ensure that you select 'Credit Note (minus number)' from the 'Type' drop down field and then put the net amount of the credit you wish to raise in the 'Amount' field. There is also a 'Notes' field at the bottom where you can input some narrative which will then appear on the underlying WIP report.
Please make sure that you put a 'minus' (i.e ' - ' ) in front of the amount you have entered, otherwise it will create a bill instead of a credit note!
Once you have completed these fields, you will then need to press 'OK' and then also close down the assignment window behind it.
You should then see the credit amount in the 'Bill' column and the same amount appearing as a loss in the 'Write-Off (On)' column for the assignment that you had selected.
At this point, please do not attempt to edit or remove either of these values otherwise it will distort the underlying WIP reports!
From this point onwards, you can treat the remainder of this process as if you were raising a normal fee, so all you will need to do is input some narrative and then submit the credit note ready for partner approval.
2. Full Credit Notes
In order to raise a full credit note against a posted invoice, you must first go to the 'Bills' tab of that client, highlight the fee that would like to credit by left clicking on it and then select the 'Reverse' button which can be located at the bottom of the list of fees to the right hand side.
The following window will then appear for which you then need to click 'Yes'.
At this point, CCH will effectively create a draft credit note which will be located under the 'Draft Bills' section at the very bottom of the bills tab.
If you then double click on this draft, it will take you to the final stage of the billing wizard. You will notice that there will be a red cross in the middle of the screen which basically means you will need to input some narration for the credit note before CCH will allow you to submit it. To do this, you will need to click on the 'Bill Paragraphs' icon which can be found in the top left hand corner of the billing wizard as shown below.
Once you have input your narration, click 'OK' and you will be returned to the final stage of the billing wizard. The red cross that was there before, should no longer be visible.
At this stage, I would quickly double check all the details to ensure everything is as expected and if so, you can click on the 'Submit' icon.
