How do I log/record Time Off In Lieu?
If you are eligible to claim TOIL (please see staff handbook), the process is as follows:
Firstly, you must ensure that for the period you are claiming TOIL, your 'Actual' hours, must be higher than your 'Required' hours. (Please see screen shot below)
In the above example, you can see the 'Required' hours are 37.5, but the 'Actual' hours worked are 39.5.
Therefore, this particular employee has worked an excess of 2 hours and are are now able to claim TOIL.
In order to claim this excess time as TOIL, you must do the following:
- Create a new timesheet entry
- Under the 'Client' field, select 'Non-Chargeable'
- Under the 'Assignment' field, select 'Time Off In Lieu'
- The 'Task' field can remain as '? Unspecified Time'
- Under the 'Units' field, you must enter the number of hours you have worked in excess of your normal working hours (So in the above example, this would be 2 hours). Please make sure you enter this value as a negative 2 hours
- If this has been input correctly, then your 'Actual' hours should now match your 'Required' hours.
All TOIL entries can then be tracked from your CCH Screen:
The above shows that the TOIL balance for this employee is now 2 hours.
In order to see a breakdown of all your TOIL entries, you can click on the 'Time off in Lieu' heading (highlighted in blue) under the 'Description' column.
In order for you to use that TOIL balance at a later date you must do the following:
Create a timesheet entry on the day you wish to use TOIL and input the same details as the screen shot below (Please be aware that the 2 hours used below is just an example)
This will then appear on your timesheet as a normal entry and increase your 'Actual' hours.
